Completion of our booking form or email / fax / postal bookings
Please supply as much information as you can (e.g. Number of passengers, luggage requirements, specific starting / finishing points etc..etc). Please check all relevant parts of your booking form, if applicable, have ben completed correctly by you and by our staff.
Any quotation is based on the details which you supply to us. It is to our mutual benefit that you provide all relevant details to us. Any variation may result in extra charges and must be notified to us and authorised at least 48 hours prior to the hire. Our drivers are not authorised to alter or ammend a booking on the day or create any un-authorised detours or pick ups/drop offs.
Our commitment to you
Spot Hire Travel will provide a vehicle with agreed minimum seating capacity as per your instructions. One or two drivers will be supplied dependant on the duration of the journey and in accordance with any updated or ammendments to the driver hours rules and regulations. The routes used for any journeys will be at our discretion unless specific alternatives are required and agreed at least 48 hours in advance.
We do not have toilets on board our coaches for health and safety reasons, therefore we will make neccesary comfort stops for both the passengers and the driver, who is required by law to have minimum legal breaks. When the driver is on a legal break, they can not under any circumstances move the vehicle or leave earlier than allowed to.
If we supply a larger coach than you have ordered no extra charge will be made. However this does not allow for extra passengers to be carried over and above the seating capacity which you have reserved. If additional passengers are carried we reserved the right to levy a charge per passenger pro rata on the coach hire charge.
Every effort will be made to complete the journey by the time stated where arrival time is imperative, (e.g. airport, station etc etc). We will advise when booking the suggested travelling time. However, we cannot be held responsible for delays due to severe weather, traffic or other causes beyond our control. It is your responsibility to allow sufficient time for your journey when booking.
If the number of passengers requiring transport increases above the booked vehicle size, we will make every effort to supply a larger vehicle and charge the extra amount accordingly. However, if we cannot supply the larger vehicle and you choose to cancel the booking no refunds will be given. Likewise, if your passenger numbers decrease siginificantly and you choose to cancel the booking no refunds will be given.
Our prices quoted are in all cases exclusive of all parking charges, tolls, congestion fees, accommodation, catering and all other relevant surcharges unless otherwise stated or agreed when booking. Any such charges will need to be met by yourselves, maybe on the day in cash for ambiguous fees such as parking.
Every effort will be made to safeguard passengers personal effects / luggage whilst on board the vehicle. However, we do not accept any responsibility for loss or damage to such items. You are strongly advised to insure against such loss or damage.
For your comfort and safety and to abide by new laws, all our vehicles are fitted with seatbelts and are all NO SMOKING.
Your commitment to us
When hiring a vehicle from us you are agreeing by contract to abide by our rules. It is your responsibility to ensure all passengers conduct themselves responsibly and in an orderly fashion.
Smoking, eating hot / fast/ take-away foods is strictly prohibited on board any of our vehicles, the use of any of them can result in expensive cleaning/repairs etc and the cost will be met by you in such circumstances. Anyone found not complying with this order will be requested to leave the vehicle. We also reserve the right to withdraw the vehicle from service with immediate effect with any replacement travel costs at your expense. No monies will be refunded.
Where cold foods and soft drinks have been allowed by prior arrangment with our office, any rubbish as a result of this should be cleaned and taken off the coach when leaving the vehicle.
Anyone ill whilst on board our vehicles must report this as soon as is safe and possible so as any relevant stops can be made and any cleaning carried out at the earliest opportunity. If the illness is as a result of travel sickness no further action will be taken. However, if due to alcohol the relevant charges as below will be levied per incident.
Under no circumstances will Spot Hire Travel permit more passengers to travel than the vehicle is licensed for.
Continental Hire
Where vehicles are hired for use on the continent please ensure thal all passengers are aware of the legal limits per person in regards to cigarettes, perfume, wines, beers and spirits. Anyone found in excess of the limit may be refused entry on board the coach and may be reported to customs. If our driver suspects anyone of deliberately smuggling they will be reported.
Cancellation Policy and Surcharges
Should it be neccesary for you to cancel your booking with Spot Hire Travel the following cancellation fees will apply.
October to March 0-7 days - 100% 8-14 days - 50% 15-21 days - 25% 22 + days no charge, full refund.
April to September 0-10 days - 100% 11-21 days - 50% 22 - 28 days - 25% 29 + days no charge, full refund.
In the event of any sickness due to alcohol a minimum cleaning charge of £75 will be applied and will be payable before leaving the vehicle. Any cleaning due to rubbish or unneccesary soiling due to fast food, fizzy drinks, non-permitted alcohol etc will be charged at £30 per hour and may be requested before passengers leave the vehicle.
Any extra costs not paid prior to a booking such as entrance fees, parking fees, meals, accommodation etc will need to be paid on the day unless permitted by our office.
At all times of year for continental hire or overnight stays where crossing fees and / or accommodation has been booked, the cancellation fee of the third party will be passed on to the client regardless of the timeframe of the booking date and job date.
In situations where severe weather has hampered your journey or you cancel within the above periods as a result of this, the full charges will be applied in all circumstances. You should take out appropriate insurance to cover your booking. If we advise you we cannot carry out the contracted hire due to such conditions for health and safety, no charge will be applied, subject to the client rebooking.
These rates are non-negotiable unless a separate contract has been authorised for specific account clients.
In the unlikely event of any complaint please submit this within 14 days after travel. We also welcome your positive feedback or suggestions for improvment.
